Administrative Assistant Responsibilities:

- Manage calendars to include setting up meetings and conference calls with internal staff and external partners

- Coordinate executive travel arrangements and maintain expense reports in a timely fashion

- Act as liaison between executive and external partners

- Assist with internet research

- Manage production of presentations

- Maintain database information and work in excel spreadsheets

- Assist with general filing and organization

- Other general administrative duties as needed

 

Receptionist Responsibilities:

- Answer and direct incoming calls

- Greet and set up visiting clients

- Track and order supplies

- Maintain general housekeeping duties such as organizing supplies, cleaning up after clients and maintaining pantry

- Pick up, sort and deliver mail

- Call, sign for, receive, deliver and stock materials for FedEx, UPS packages, etc.

- Call, prepare and set-up courier service for pick-up

- Arrange for meals for partners and associates when necessary

- Assist office manager and administrative team with bulk mailings, assembling conference presentation materials, editing lists, making labels and files, general faxing and correspondence, etc.

 

Requirements:

- Bachelor degree preferred

- Prior administrative/reception experience

- Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint,

Outlook)

- Strong communication skills

- Team player

- Proactive approach to professional responsibilities

- Ability to multitask

- Strong attention to detail

- Professional demeanor, strong work ethic, dependable

- Ability to work gracefully under pressure

- Background in managing multiple projects and high level priorities

- Extremely organized with the ability to work both independently and in a team environment

- Experience with working in an administrative role (within the private equity industry a plus)
